To make a reservation, please submit a request through our Computer Facility Reservation Form. Before requesting a computer facility, please the following information on Rates and Policies. 

Events Definitions

This article will be using the following terms to define the different event types that may reserve a computer facility.

UC Berkeley Academic courses

  • Must have a Course Control Number
  • DeCals included

UC Berkeley staff training

  • Attendees must be UC Berkeley Staff or Faculty
  • Please check availabilities in 28 University Hall first (email maddyirwin@berkeley.edu)

Departmental sponsor events

Individuals and outside organization events

  • Reservations only available during summer session

Scheduling Priorities

During the Spring and Fall semester, the highest priority for scheduling computer facilities is for academic classes. Academic classes are defined by those that have a Course Control Number (CCN).

Spring and Fall semesters

The scheduling priorities during the Spring and Fall semesters in  computer facilities are listed in order below:

  1. Academic courses, including DeCals
  2. UC Berkeley staff training

If a higher priority event requests the same time and room as the lower priority group, the lower priority event will be bumped. We will try our best to find the lower priority event another location, but that may not be possible.

Winter and Summer Break

During Summer or Winter break, there is no clear priority scheduling. Each reservation is reviewed case by case to determine priority. Generally, most reservations are given in a first come first serve basis. 

Restricted Computer Facilities

175 Tan Hall - Chevron Computer Facility

The Chevron Computer Facility is reserved for the College of Chemistry only. Other department request will be reviewed on a case by case basis.

Reservation Timeline

You may request reservations up to one year in advance. After priority scheduling, all other reservations are scheduled at a first come first served basis.

There may be dates used for semesterly maintenance and are not reservable.

Academic Holidays

All computer facilities are closed during academic and public holidays and may not be reserved.

Rates and Fees

After Facility Hours and weekends

Facility Hours are defined as Monday to Thursday 8am-8pm. Fridays 8am-5pm. Reservations outside of these hours will reviewed on a case by case basis and will have an extra $1/attendee/hour fee if approved. Please note that most non-academic requests will NOT be approved. 

After Facility Hours and Weekends review and cost are in effect throughout the whole year.

Exceptions: Academic Exams, such as midterms and finals do not incur this extra charges.

Cancellation

$160 less for than 5 day notice, or cost of that day reservation, whichever is less.

Software installation

If your event requires additional software to be installed, you will be charged a minimum reservation fee of $160 or your total reservation estimate, whichever is higher.

Advance Notice

Reservations must be made at least 10 days before the day of the event. If your event requires additional software to be installed, then reservations, software information, and if applicable, software licensing must be provided 3 weeks before the day of the event.

Liability Insurance

Academic courses, UC Berkeley staff training, and departmental sponsored events do not require special insurance coverage. For more information, please visit: http://riskservices.berkeley.edu/events-activities/department

Individuals and outside organization events

UC Berkeley Risk Services requires outside organizations provide the University with evidence of insurance for the event, in the form of a Certificate of Insurance.
