Academic Innovation Event Space

RTL’s Academic Innovation Studio event space is designed to foster collaboration and promote academic innovation. RTL partners and events that serve the needs of Berkeley’s instructors and researchers will be given priority for booking. Other events will be considered depending on space and staff availability.

Reservations are made within the academic calendar year, with at least two weeks' advance notice for upcoming events.

Reservation Process

1. Review our Facility Use Guidelines to ensure your request meets our guidelines.

2. Check the Dwinelle 127 bCal to see if your desired date(s) and time(s) are available.

3.  Submit your event request via the reservation request form, accessible via @berkeley.edu accounts.

You will receive an email confirming your reservation request's status within three business days. Your reservation is not finalized until you receive confirmation (a bCal invitation).

Facility Use Guidelines

  • Event to take place during AIS operational hours, Monday - Thursday, 9 AM - 4 PM, and Friday, 9 AM - 3 PM, excluding University holidays and curtailment periods.
    *Approval of event requests outside these hours is contingent upon staff availability.
  • The maximum seated capacity is 32 persons.
  • Refreshments are permitted. Event host(s) are responsible for all catering arrangements including ordering, meeting your caterer, setting up, and cleaning up the food and beverages.
  • Host(s) are responsible for their own AV/tech support; AIS staff may be available to offer basic assistance depending on resources.
  • Host(s) are responsible for providing your own meeting/event supplies (e.g., pens, markers, post-it notes, large easel pads).
  • Hosts are responsible for cleaning up after their event, including removing any food, drink, and trash.
  • Events must comply with Campus Events Policies & university masking guidelines

Event Space Specifications

Equipment

The maximum seated capacity is 32 persons.  There are 16 (5'x2' tables) and 32 chairs. 

There is a projector and projector screen, four side display monitors, and up to two microphones. If you are using the projector, you must bring your own laptop to connect to it.

Dwinelle 127 is a Zoom Room that accommodates both in-person and virtual attendees. It features two wall-mounted cameras to highlight the in-person speaker and display the in-person audience. 

The room also has recording capabilities. If you plan to record your event, please have the Zoom host check that cloud recording is enabled in their Zoom settings. Zoom Help Article.

Event Set-up and Clean Up

The room will be set per the configuration requested and the intended number of participants. Your event organizer is responsible for the specifics of your event setup including any modifications to the requested setup and equipment testing. 

It is your responsibility to clean and remove all trash from the room.

Events with Refreshments

Refreshments are permitted. You are responsible for meeting your caterer and responsibly disposing of all trash.

We recommend a few caterers who are familiar with and can deliver into the AIS. They are Berkeley Catering,  Ann's Catering, and V&A Cafe.

For other caterers/ delivery services, it is recommended to direct them to and meet at a pickup point:

  • Durham Studio Theater* (209 Schlessinger Way). *Note. There is construction that may impact road access and delivery time.

    •  You can bring the food through the back entrance and up two flights of stairs to the AIS.
